No-Show Detection & Management

No-Show Detection & Management

Understand how the platform detects no-shows and learn strategies to reduce them and handle them professionally.

What Is a No-Show?

A no-show occurs when a customer books an appointment but doesn’t attend the session without providing advance notice of cancellation.

How No-Show Detection Works

The platform automatically detects potential no-shows:

  1. A booking is created for a specific date/time
  2. The scheduled time passes
  3. The booking status hasn’t been updated to “Completed”
  4. System marks it as potential no-show after 15 minutes
  5. You receive a notification to confirm

Manual Confirmation

You can manually mark a booking as a no-show:

  1. Go to Dashboard → Bookings
  2. Find the booking
  3. Click the actions menu
  4. Select “Mark as No-Show”
  5. Confirm the action

Strategies to Reduce No-Shows

1. Confirmation Reminders2. Two-Way Communication
Send confirmation email immediately after bookingAllow customers to confirm attendance via email
Send reminder 24 hours before sessionSend personal message day before
Send final reminder 1 hour before sessionMake it easy to reschedule if needed
Include easy cancellation option in all remindersBuild rapport before the appointment

3. Clear Communication4. Flexible Rescheduling
Explain the value of the session in confirmationsMake it easy to reschedule without penalty
Remind them what to prepareOffer online self-service rescheduling
Emphasize that you've reserved time specifically for themBe understanding about conflicts
Make the video link easy to find and accessEncourage rescheduling over no-showing

No-Show Policy

Creating Your Policy

Consider establishing a formal no-show policy:

  • First No-Show: Warning + education about impact
  • Second No-Show: Deposit required for future bookings
  • Third No-Show: Account suspended or no additional requests accepted
  • Exceptions: Genuine emergencies with documentation

Communicating Your Policy

  • Display prominently on booking page
  • Include in confirmation emails
  • Mention in reminder messages
  • Be consistent in enforcement

Handling a No-Show

Immediate Steps

  1. Wait 15 minutes past scheduled start time
  2. Try to contact the customer via phone/email
  3. Document the no-show in your system
  4. Mark the booking accordingly

Follow-Up Communication

Send a professional follow-up message:

“Hi [Name], I noticed you weren’t able to make our session today at [Time]. I hope everything is okay. If you’d still like to meet, I’d be happy to reschedule. Please let me know a time that works better for you. If you have any questions or concerns, feel free to reach out.”

Tracking No-Shows

Monitor no-show patterns in your analytics:

  • No-show rate by day of week
  • No-show rate by time of day
  • Individual customers with multiple no-shows
  • Correlation with booking type (instant vs scheduled)

Compassionate Approach

Remember:

  • Emergencies happen—give benefit of the doubt
  • Some no-shows result from technical issues
  • Mental health challenges may prevent attendance
  • Cultural or language barriers might cause confusion

Balance firmness with understanding. The goal is to maintain professionalism while protecting your time and income.

Analytics & Reporting

Use your dashboard analytics to:

  • Calculate no-show rate percentage
  • Identify high-risk time slots
  • Track effectiveness of reminder strategies
  • Measure impact of policy changes
  • Compare your rate to industry benchmarks (typically 10-30%)
