What Is a No-Show?
A no-show occurs when a customer books an appointment but doesn’t attend the session without providing advance notice of cancellation.
How No-Show Detection Works
The platform automatically detects potential no-shows:
- A booking is created for a specific date/time
- The scheduled time passes
- The booking status hasn’t been updated to “Completed”
- System marks it as potential no-show after 15 minutes
- You receive a notification to confirm
Manual Confirmation
You can manually mark a booking as a no-show:
- Go to Dashboard → Bookings
- Find the booking
- Click the actions menu
- Select “Mark as No-Show”
- Confirm the action

No-Show Policy
Creating Your Policy
Consider establishing a formal no-show policy:
- First No-Show: Warning + education about impact
- Second No-Show: Deposit required for future bookings
- Third No-Show: Account suspended or no additional requests accepted
- Exceptions: Genuine emergencies with documentation
Communicating Your Policy
- Display prominently on booking page
- Include in confirmation emails
- Mention in reminder messages
- Be consistent in enforcement
Handling a No-Show
Immediate Steps
- Wait 15 minutes past scheduled start time
- Try to contact the customer via phone/email
- Document the no-show in your system
- Mark the booking accordingly
Follow-Up Communication
Send a professional follow-up message:
“Hi [Name], I noticed you weren’t able to make our session today at [Time]. I hope everything is okay. If you’d still like to meet, I’d be happy to reschedule. Please let me know a time that works better for you. If you have any questions or concerns, feel free to reach out.”
Tracking No-Shows
Monitor no-show patterns in your analytics:
- No-show rate by day of week
- No-show rate by time of day
- Individual customers with multiple no-shows
- Correlation with booking type (instant vs scheduled)
